Estimator, complex assemblies

A manufacturer quoting complex assemblies from customer drawings.

Before

Complex assemblies were quoted by reading the drawing by hand and transcribing each component and its parts. A quote took days, and a revision meant another pass through the drawing.

After

From days to hours, and a revision no longer starts from scratch. The estimator no longer transcribes the drawing line by line. Freight, tax, and any line without a clean part number are still the estimator’s call.

Quote it, and requote it. Turnaround is less of a limit on which opportunities are worth pursuing.

Plant controller

A manufacturer reporting weekly on production economics.

Before

Each week the production financial report was rebuilt by hand: export the data, regroup it in a spreadsheet, format it, circulate it. It arrived a week old, and a question about any figure meant repeating the work.

After

The report is a live view of recorded production data, there whenever someone opens it. The weekly export-and-regroup step is gone, and a question about a figure is answered by drilling into it.

Ask a question about this week’s production economics in the middle of the week and get an answer, instead of waiting for the next spreadsheet.

Operations lead, production reporting

A manufacturer keeping job labor records accurate.

Before

When a lunch break overlapped more than one assignment, the deduction had to be coded by hand on each affected job-time transaction, for each employee, each week. It was careful, repetitive work that took hours away from everything else.

After

One step applies the same rule across the whole week. Operations reviews the exceptions instead of doing the arithmetic.

Spend the review time on the entries that look wrong, not on the routine ones.

Production administrator

A manufacturer running jobs with teams.

Before

When a team ran a job, the output had to be divided among the people who made it. One person might work an hour on the job and another three, so each share depended on hours. It was worked out by hand and keyed one entry at a time.

After

Each person’s share of the team’s output follows from their hours, for the whole job or by day or shift. The administrator reviews exceptions instead of working out each share by hand.

Allocate the week’s team production in one sitting, and spend the saved time on the exceptions rather than the arithmetic.

Production scheduler

A manufacturer scheduling work across the floor.

Before

How many parts were ordered, how many the floor had recorded, how many were completed and how many had shipped lived in separate places. Judging where a job really stood meant putting those pieces together by hand.

After

The production schedule shows ordered, tracked, completed and shipped quantities together for each job it covers.

Decide what to run next and what to chase based on where each job stands on the recorded numbers.

Drivers and dispatch

A manufacturer running its own pickups and deliveries.

Before

Routes, pickups and deliveries were coordinated by hand, and the delivery log was written up after the fact. Filing the paperwork and proof of what was moved was a separate manual task.

After

Drivers work from one app for their routes and pickups and capture paperwork and photos at the stop. A delivery record cannot be completed without its paperwork, and the slips are filed to the customer or supplier folder. Dispatch can follow runs as they are updated.

Plan and adjust the day’s runs knowing what has been picked up and delivered, with the paperwork already in hand.

Payroll administrator

A manufacturer lining up job time with payroll time.

Before

The shop floor clock and the payroll clock were separate records, so lining them up meant matching names by hand, and payroll punches went to a team for review about a week later.

After

One clock in the production system serves both the job and the payroll record, and punches can be viewed as they happen, by person and by job. Starting a job without a shift punch clocks the person in, which closes that gap and lets payroll review shift and job time together.

Look at a time question the same day, while the people who were there can still answer it, instead of reviewing it a week later.

Customer service

A manufacturer answering customer questions about order status.

Before

Answering one customer meant checking the order, the work order, the shipment and the invoice on separate screens, then piecing the answer together. Reviewing which open order lines still needed attention was a separate manual pass.

After

One view per customer follows an order from order to invoice. The same view flags open lines for review before anyone plans against them.
